Short answer

In the meeting, select Share in the meeting controls and choose your screen or a single window. To share sound from a video, turn on Include sound before you start. Select Stop sharing in the presenter toolbar when you are done.

Share a window, not the screen: people then see only that app, not your notifications, other tabs or your desktop.

Below: the steps on a computer and a phone, the Mac permission Teams needs, and handing control to someone else.

How to present your screen in a Teams meeting

To share your screen in Microsoft Teams, start from Share in the meeting controls. The first group covers a computer, including the Mac setting that trips people up, the second covers a phone.

  1. On a computer

Select Share in the meeting controls

In the meeting, select Share in the controls at the top of the meeting window. A panel opens with your screens, open windows and other options.

  2. Turn on Include sound if you are playing audio

If you are going to play a video or anything with sound, turn on the Include sound toggle before you choose what to share. Without it, people see the video but hear nothing.

  3. Choose a window or your whole screen

Pick one window to show only that app, or a screen to show everything on it. For PowerPoint, choose its window; slide control works only when you share the window, not the whole screen. A coloured border shows what everyone can see.

  4. On a Mac, allow screen recording when asked

The first time, macOS asks to let Teams record your screen. Select Allow. If you missed it, open System Settings, Privacy & Security, Screen & System Audio Recording, turn on Microsoft Teams, then return and select Share again.

  5. Select Stop sharing when you are done

Use the presenter toolbar at the top of the screen to stop. Select Stop sharing, and the meeting returns to people’s video. The same toolbar has Give control to let someone else use your screen.

  6. On a phone

Tap Share, then choose your screen

In the meeting on your phone, tap Share in the meeting controls and choose Screen. Choose whether to include audio, then tap Start presenting or Start Broadcast. Tap Stop presenting or Stop Broadcast to finish.

Showing a budget spreadsheet in a weekly meeting: select Share, pick the Excel window rather than the whole screen, walk through it, then select Stop sharing. An email that arrives in the meantime stays off everyone’s screen.

Choose the window you need before the meeting, with it already open: picking from a long list while everyone waits is the slow part.

When Teams screen sharing does not work

People see a black screen on a Mac

Teams does not have screen recording permission. Turn it on in System Settings, Privacy & Security, Screen & System Audio Recording, then share again.

Nobody can hear the video you are sharing

Include sound was off when you started. Stop sharing, turn the toggle on in the Share panel and share again.

The Share button is greyed out

The organiser may have limited who can present. Ask them to make you a presenter in the meeting options or from the participants list.

Window or whole screen: what each shows

What you choose decides what everyone sees for the rest of the share.

You sharePeople seeWatch out for
A windowOnly that appSwitching apps does not follow you
Your whole screenEverything on itNotifications, other tabs, your desktop
PowerPoint windowYour slides, with slide controlChoose the window, not the screen

Share a window by default and the whole screen only when you need to move between several apps.

Giving someone control of your screen

From the presenter toolbar, Give control lets another person in the meeting point, click and type on what you are sharing. It helps when a colleague needs to fix something on your computer or edit a document with you.

You stay in charge: select Take back at any time to end it. Only give control to people you trust, since they can use anything visible on the shared screen.

What to do before your next shared screen

Most sharing problems happen in the first ten seconds: the wrong window, no sound or a Mac permission prompt. Opening the file before the meeting and sharing once in a test call solves all three.

Select Share, turn on Include sound for video, choose a window and stop sharing when you finish. If you are new to Teams meetings, the guide to joining a Teams meeting covers the screen before you go in.

Sharing your screen in Teams: what to know

Can people see my notifications when I share?
Yes, if you share your whole screen. Sharing a single window shows only that window, so pop-up notifications stay private.
Can I share my screen without the Teams app?
Yes, in Teams in a supported browser. The browser asks for permission to share your screen the first time.
Can someone else control my screen?
Yes, if you allow it. Select Give control in the presenter toolbar and choose the person; select Take back to end it.
How do I know what people can see?
A coloured border appears around the screen or window you are sharing. Anything outside it stays private.
