Notion

A workspace for notes, documents, wikis and databases.

Notion is a workspace where notes, documents, task lists and wikis live together. Every page is built from blocks, such as a paragraph, a to-do checkbox or an image, and any page can hold a database, which can be shown as a table, a board, a calendar or a list.

People use it for personal notes and planning, and teams use it for shared documentation and project tracking. The Free plan covers one person without a block limit; when several people share a workspace, the Free plan allows only a set number of blocks before a paid plan is needed. Notion AI, built into the editor, can draft, summarise and search across a workspace.

01Is Notion free?

Notion’s Free plan covers one person with unlimited pages and blocks. When you invite others into a shared workspace, the free plan has a block limit. Plus, Business and Enterprise are charged per member each month and add larger uploads, longer page history and admin tools.

02How to start using Notion

  1. 1

Sign up at notion.com with an email address or a Google or Apple account, and choose personal use.

  2. 2

Create a page with New page in the sidebar and give it a title. Our first-page guide walks through it.

  3. 3

Type / on an empty line to add a block, such as a to-do list, a heading, a table or an image.

  4. 4

Keep related pages inside one parent page instead of folders. The sidebar shows them as a tree.

  5. 5

Install the desktop or phone app if you want Notion outside the browser.

03Is Notion safe?

Pages shared to the web

A published page can be opened by anyone with its link, and search engines can list it if indexing is allowed. Check the Share menu before you post a link.

Deleted pages

Deleted pages go to Trash, where they can be restored for a time. See how to recover a deleted page in Notion.

What not to store

Notion encrypts data on its servers and in transit, but not end to end, so staff and anyone who gets into your account could read it. Keep passwords in a password manager, not in a page.
